("the Company," "we," "us," or "our") (Amar Business Zone, Baner Road, 5th Floor, Pune, Maharashtra 411045, India) operates batterypoolhq.com and the BatteryPool battery-swap network for electric two-wheelers. We are committed to handling personal information responsibly and in accordance with applicable Indian data protection law and internationally recognised good-practice standards. The BatteryPool service connects delivery riders and electric two-wheeler fleet operators with a network of AI-managed battery-swap stations. In doing so, the Company processes operational data from riders (swap events, location at time of swap, battery state-of-health readings), fleet operators (fleet dashboard usage, subscription and billing details), and station-hosting partners (site access credentials, operational logs).

2. Information We Collect

Depending on how you interact with us, the Company may collect:

• Account and identity data you provide when registering: name, email address, phone number, and for fleet accounts, company name and GST number.
• Operational data generated during swap events: timestamp, station identifier, battery pack identifier, state-of-health (SoH) readings recorded at the point of swap. This data is essential to operating the network and delivering the service you engaged us for.
• Location data at the point of swap: the station's fixed GPS coordinates are recorded with each swap event to enable dispatch routing and demand forecasting. The Company does not track a rider's continuous GPS position between swaps.
• Fleet and platform usage data: dashboard logins, API call logs, report downloads, and feature usage by fleet operator accounts.
• Communication content: messages sent to [email protected] or through our contact form, for the purpose of responding to your inquiry.
• Technical and device data collected automatically when you visit batterypoolhq.com: IP address, browser type, pages visited, referral URL, and session duration. We use this data in aggregate to understand site performance and improve the platform.
• Analytics data collected with your consent via our cookie notice (see our Cookie Policy).

3. How We Use Information

The Company uses the information described above to:

• Operate the battery-swap network: schedule dispatch, route charged packs to stations, and process swap events in real time.
• Deliver the AI dispatch and demand-forecasting service: the demand model ingests anonymised swap-event data (station, timestamp, SoH) to predict where charged packs need to be staged next.
• Provide fleet operators with uptime reports, SoH tracking dashboards, and analytics through the BatteryPool platform.
• Manage accounts, subscriptions, and billing for Network Access, Fleet Starter, Fleet Pro, and Enterprise plans.
• Send service notifications (swap confirmations, station availability alerts, billing receipts). You may opt out of non-essential communications at any time.
• Respond to support inquiries and improve the service based on usage feedback.
• Meet legal and regulatory obligations applicable to the Company in India.

We do not sell personal information to third parties. We do not use swap-event or rider operational data to train models for purposes beyond operating the BatteryPool service without explicit written consent.

4. Sharing

The Company shares personal information only as follows:

• Service providers acting on our behalf under written contract: cloud hosting, payment processing, analytics infrastructure. These processors may not use your data for their own purposes.
• Fleet operators: if you are a rider registered under a fleet account, the fleet operator will have access to aggregated swap logs and SoH reports for packs used by their riders, as set out in the fleet subscription agreement.
• Station-hosting partners: operational data (swap counts, station utilisation) is shared with the host of a given station for billing and performance-review purposes. No rider identity data is shared.
• Regulatory and law-enforcement authorities where required by law or a valid legal order.

Angel investors who participated in the Company's 2025 funding round may receive aggregated, de-identified operational metrics as part of standard investor reporting. No individual-level personal data is shared in this context.

5. Retention and Security

The Company retains personal information only for as long as necessary for the purposes described in this policy, or as required by law. Swap-event operational records (station, timestamp, pack ID, SoH reading) are retained for a minimum period to support billing reconciliation and network performance analysis, then deleted or anonymised. Account data is retained for the duration of the account and a reasonable period thereafter to resolve disputes and comply with legal obligations.

We apply administrative, technical, and physical safeguards designed to protect personal information, including encrypted data transmission, access controls, and regular security reviews. No system is perfectly secure; we encourage you to use a strong, unique password for your BatteryPool account.

6. Your Rights

Subject to applicable Indian law, you have the right to request access to, correction of, or deletion of personal information we hold about you, and to object to or restrict certain processing. If you believe we have not handled your information lawfully, you may also contact the relevant data protection authority.
